The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person for the position of Logistics Assistant based in Nekemte.
Terms of Employment: 1 year fixed term contract with possibility of extension based on budget availability
PURPOSE
The Logistics Assistant supports the delegation's logistics team by following up and handling operational requests. He/she processes customer orders, conducts procurement process, maintains inventory at sub delegation level.
- carries out order fulfilment activities in accordance with service level agreements, ensures that all customersâ needs are understood, met, delivered and well communicated
- supports/conducts procurement process in the sub delegation in accordance with ICRC rules and regulation.
RELATIONSHIPS
- Internally, interacts with Logistics Division staff, units that use logistics services, with Finance and Administration Division.
- Externally, interacts with service-providers and low-level local authorities.
GENERAL DUTIES
- Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
- Understands and adheres to the ICRC Code of Conduct
- Understands the roles of the components of the International Red Cross and Red Crescent Movement
- Respects and observes staff regulations and security rules at all times
- Represents the ICRC in a professional manner at all times
- Develops and maintains a pleasant and conducive working environment with colleagues and line managers
- Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
- Check out orders and process them according to procedures
- Decide on sourcing â local or forward to ADD
- Provide feedback to the requester concerning status of validated Requisition Orders.
- Ensure that orders are delivered in time.
- Follow-up the process until goods/services are delivered by the supplier
- Work in close cooperation with carpool to ensure an efficient movements and delivery of requested goods.
- May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary
ACCOUNTABILITIES AND RESPONSIBILITIES
Provides support in the Subdelegation as per the logistics standards, ICRC rules, financial procedures and regulations. This may include some or all of the following activities:
- meetings with internal customers for demand planning
- order management
- maintenance, follow-up creation of statistical reports, using the delegations ERP system
- warehousing, goods reception
- transport of goods and coordinating trips into the field
- to carry out domestic purchases for specific item categories up to a predefined amount
- filing and archiving of documents
- Keeps close contact with the main delegationâs Procurement, Supply Chain, Logistic responsibilies to follow strategies, priorities.
ADDITIONAL DUTIES
- Follows up on all work-related messages and correspondence with the relevant contacts and departments
- Is aware of the delegationâs objectives and has a good knowledge of the Movement and other contacts relevant to the position
- Collects and shares information so as to improve the ICRCâs understanding of the environment and humanitarian trends and responses
- Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRCâs image
- Takes responsibility for their own professional learning and development
Certifications / Education required
- University degree or Technical degree with equivalent experience in logistics, administration.
- Good command of spoken and written English and the local working language (Knowledge of Afan oromo & Amharic).
- Computer literacy; good knowledge of Microsoft Office.
- Knowledge of enterprise resource planning software is an asset.
Professional Experience required
- Typically, three to five yearsâ overall professional experience.
- Three yearsâ previous experience in logistics department
- Good understanding of order management, purchasing, warehousing, general logistics processes
- Detailed knowledge of the local area
- Experience in humanitarian organization is an asset
