Habitat for Humanity Ethiopia (HFHE) started operations in 1993 as a branch of Habitat for Humanity International (HFHI). HFHE has provided simple, affordable shelter for families in Ethiopia while also working to improve Water, Sanitation, and Hygiene and empower Vulnerable Groups in the country.

JOB SUMMARY
Reporting directly to the National Director & RAU, the Executive Assistant II provides executive support in a one-on-one working relationship. The Executive Assistant II serves as the primary point of contact for the National Director and also serves as a liaison with the Senior Management Team of HFH Ethiopia. The Executive Assistant II must have a cluster of competence in Program and partnership development, networking, communication, and advocacy that is mission and results-driven, and community-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and organizational skills. The ability to maintain a realistic balance among multiple priorities is imperative. The Executive Assistant II must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Duties and Responsibilities:
  • Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the country and overall organization operations and administration.
  • Provide comprehensive support services to the National Director that ensures outstanding communication and responsiveness.
  • Conduct research and analysis on issues of interest to the National Director and HFHE
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Support and manage a high volume of requests and projects to meet the objectives of the HFHE.
  • Manage all scheduling and travel logistics for the National Director
  • Prepare and edit correspondence, presentations, reports, minutes, and memos.
  • Support the National Director in strategic communications, organizational strategy, and all other special projects as assigned.
  • Organize meetings and events for convening, and various stakeholders meetings, and other administrative activities.
  • Maintain quality filing and communications systems including contact management, document management, and archiving.
  • Support the National Director with donor/ funder relations.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Assist in other administrative tasks of HFHE as needed.
Duration of the contract: 2 years with the possibility of an extension.

Job Requirements

Minimum Required:
  • Bachelor of Art in business administration/management, communications, marketing, and related fields with 5 years of related experience required in working in an executive assistant role supporting C-Level executives.

Skill Required:

  • Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.
  • Commitment to excellence - perform duties at the highest level possible on a consistent basis.
  • Excellent communicator - able to interact with people of all levels in a confident, professional manner.
  • Team player - have team-oriented experience and approach.
  • Service focus - dedicated to meeting the expectations of the ND and other senior executives by maintaining effective relationships with interested parties.
