JOB SUMMARY

The Logistics Officer is responsible for supporting the delivery of all logistics-related activities in the field during an emergency response, including supporting local procurement, stock management, fleet management, and infrastructure setup/demobilization.

MAIN TASKS AND RESPONSABILITIES

  • Specific responsibilities include, but are not limited to:

    Procurement:

    • Coordinates local procurement activities.
    • Reviews purchase requests for completeness and approvals, and supports requestor in providing appropriate input on quality, delivery expectations, detailed specifications, policy, and procedures.
    • Prepares Request for Quotation and Request for bids to be sent to suppliers
    • Analyse quotations and prepare Procurement Bid Summaries
    • Maintain a database with product and supplier information
    • Negotiate with suppliers, within limits of authority. Meet with suppliers if necessary.
    • Prepare Purchase Orders.
    • Follow up with suppliers to ensure prompt delivery.

    Warehouse:

    • Responsible for complying with IMC Logistics Guidelines on management and security of warehouse and stored commodities, including the maintenance, security, inspection, proper storage, Inventory, and accounting of goods.
    • Responsible for non-expendable supplies utilized in the Program office including inventory, needs, monthly ordering, monitoring of appropriate use, etc.
    • Plan and project appropriate warehousing space for commodities.

    Transport:

    • Checks all repair work performed in the workshop for completeness. This includes physical inspections and road tests before the vehicle is turned back to user departments.
    • Manage the daily, weekly, and monthly fleet/ vehicle allocation by department
    • Examines reports for accuracy on each vehicle and piece of equipment repaired; writes Reports on vehicle utilization, fuel consumption, and log sheet report for the total KM traveled and the fuel used on monthly bases on vehicles, generators, and equipment.
    • Responsible for the maintenance and repair of all vehicles Generators & equipment assigned to the IMC Field Office.
    • Implements and monitors a preventative maintenance program to assure cost-effective maintenance and a scheduled maintenance program to provide maintenance by manufacturers specifications
    • The logistic officer/ procurement may be responsible for any other task outside his or her normal area of responsibility as assigned by theFieldOffice Manager.

Job Requirements

BA Degree in Logistics, Procurement, Management, or related field with 1-2 years of experience in humanitarian logistics within the field of supply chain management (procurement, tendering, contracting, clearance, transport, warehousing, etc.) fleet management and asset management, and distribution support.

Proficiency in Microsoft Office including MS Word and Excel, as well as email communications and other computer programs.

Professionalism, Honesty, Integrity.

Knowledge of methods, techniques, and procedures involved in procurement and reporting

Ability to plan, organize and direct the work engaged in the day-to-day activities

Ability to accomplish tasks within a reasonable period

Ability to communicate both orally and in writing in English.
