Purpose of the job
Warehouse clerk (Document Facilitator) is responsible for the Preparing of receiving and issuing documents, proper keeping of all store documentation and store offices. She/he is also responsible for ensuring stock accuracy, proper issuing and receiving and housekeeping of the Warehouse.
Key Roles and Responsibilities
- Check the documents with the goods when they are delivered to the warehouse, either by purchase or from factory. He/she also prepare Goods Receiving Voucher in accordance with an order issued by the Storekeeper, warehouse Coordinator or Assistance warehouse coordinator. The document will be approved by the Warehouse Team leader.
- Check the authenticity of the customer's documents coming out of the warehouse and sign them with the appropriate authority.
- Prepares Store Issue Voucher/Goods Receiving Vouchers only on orders from the warehouse Coordinator or Assistance warehouse coordinator. She/he will immediately sign the customer on the Voucher.
- When an item arrives at the store or withdrawn from the store, it is immediately deducted from the bin card.
- Properly prepare the GRV and SIV documents of the store, sign it by the store Coordinator and approved by the warehouse team leader then distribute the documents to the relevant departments on time.
- Comply with general work rules responsible for quality of own work, housekeeping of own work area, and work safely.
- Perform minor Warehouse jobs and work with others to provide assistance with major warehouse jobs when assigned.
- Schedule workload based on established warehouse management priorities.
- Assist in the development of procedures, work instructions and quality system documents.
- Ensures all the goods movements are done with properly authorized documents with zero tolerance of delay.
- Advise warehouse coordinators of unsafe conditions and provide recommendations for improvement.
- Proper documentation and record keeping as per the document control procedure.
- Ensure the cleanliness and orderliness of the warehouses.
- Provide a safe and healthful work environment for all personnel through consistent support of the companys SHE policy.
- Utilizes the Warehouse Management System to prioritize and manage loading and unloading workload.
- Document and submit necessary paperwork or enter into mobile service program as work performed in an accurate and timely manner.
- Comply with all aspects of the Standard Operating Procedures manual.
- Ensuring Warehouse and office are accessible and safe for client or customers traffic.
- Maintain good working relationships with his/her Manager and peers.
- Prepare daily, weekly and monthly store reports from GRN and SIV documents as well as physical balances and sends them to the relevant department by signing the Warehouse team leader on time.
- Must be able to work flexible hours; days, afternoons, midnights, overtime and weekends as necessary.
- Carry out other activities assigned by his/her manager. Shall follow and implement to the BNT Industry and Trading PLC management systems rules, regulations and requirements on quality, Food safety, environmental and occupational health & safety.
Education
- Bachelor's degree in Procurement/Logistic and supply management or Business administration, Accounting and related fields.
- Computer skills: (Windows, Word and Excel)
Experience
- 1 year experience in merchandising company or related factory in Material management area.
- Knowledge of relevant warehouse policies and procedures.
