Job Description

Responsibilities
  • Organize and schedule meetings and appointments, including taking meeting minutes and maintaining contact lists.
  • Maintain client correspondence files and manage incoming and outgoing mail.
  • Coordinate office maintenance and manage the purchase of office supplies.
  • Arrange travel logistics such as booking flights, cars, and hotel reservations.
  • Greet and assist visitors to the office and manage staff appointments.
  • Perform administrative tasks including filing, typing, copying, and scanning documents.
  • Assist in supervising guards, cleaning service personnel, and office messengers.
  • Assist with day-to-day operations of HR functions, including compiling and updating employee records and processing documentation.
  • Coordinate communication with candidates, schedule interviews, and maintain proper records of employee attendance and leaves.
  • Maintain confidentiality of HR files and records, performing periodic audits to ensure compliance.
  • Act as a liaison between the organization and external benefits providers and vendors.
  • Assist in planning and executing special events and coordinating HR projects.
  • Administer petty cash according to established procedures.
  • Perform other duties as assigned by the HR & Admin Manager.
Start Date: As soon as possible

Reporting to: HR & Admin Manager

Job Requirements

Qualifications:
  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an administrative assistant or office administrator.
  • Strong organizational and time management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills in English.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Previous experience in HR functions is a plus.
  • Ability to work independently and as part of a team.
