Job Summary
We are looking for a competent and reliable Personal Assistant to provide personalized administrative support to our senior management team. The Personal Assistant will be responsible for managing schedules, handling correspondence, coordinating meetings, and assisting with various administrative tasks to ensure the smooth operation of the office. The ideal candidate will be highly organized, proactive, and capable of multitasking in a fast-paced environment.
Detail Roles and Responsibilities
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Screen and prioritize incoming calls, emails, and correspondence, responding on behalf of the executives when necessary.
- Coordinate and schedule meetings, conferences, and events, preparing agendas and taking minutes as required.
- Assist in preparing and editing documents, presentations, reports, and other materials for internal and external communication.
- Conduct research, compile data, and prepare briefs or summaries for the executives' review and decision-making.
- Handle confidential and sensitive information with discretion and maintain strict confidentiality at all times.
- Organize and maintain filing systems, records, and documentation in both physical and electronic formats.
- Liaise with internal staff, external partners, clients, and vendors on behalf of the executives, maintaining professional communication and relationships.
- Perform as a liaison between the employer and household staff as required.
- Anticipate the needs of the executives and proactively provide administrative support to enhance their productivity and efficiency.
- Assisting with personal shopping, from everyday items to gift purchasing for special occasions.
- Overseeing bill payments, budgeting, and liaising with accountants or financial advisors.
- Arranging for car servicing, repairs and ensuring vehicles are kept in a good condition.
- Perform ad-hoc tasks and special projects as assigned by the executives to support business operations and organizational goals.
Qualifications Requirements:
- Bachelor's degree in Business Administration, Secretarial Studies, or related field is preferred.
- A minimum of One year experience as a Personal Assistant, Executive Assistant, or similar role supporting senior management.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication skills, both verbal and written, with a professional and courteous demeanor.
- Proficient in MS Office applications (Word, Excel, PowerPoint) and office management software.
- Discretion and confidentiality in handling sensitive information and maintaining professional ethics.
- Attention to detail, accuracy, and a proactive approach to problem-solving.
- Ability to work independently, take initiative, and adapt to changing priorities in a dynamic work environment.
