Job Description

MAIN PURPOSE OF JOB

The main purpose of the job is to provide administrative support to the Institute of Capacity Development.

PRINCIPAL RESPONSIBILITIES

Communications Support

Receiving and reviewing correspondence to the office

In Liaison with Program officer

Receiving and dispatching correspondence (including letters, faxes, email, telephones etc).

In Liaison with Program officer

Planning and Organizing

Following up on hotel booking hotels and making travel arrangements for participants

In Liaison with Program officer

Providing logistical support for participants

In Liaison with Program officer

Ordering office supplies and equipment to ensure smooth running of the office

In Liaison with Program officer

Information

Management

Maintaining office filing and storage systems

In Liaison with Program officer

Financial Support

Following up on payments for suppliers

In Liaison with Program officer

Following up Imprest and surrenders

In Liaison with Program officer

Following up on requisitions, and GRNs

In Liaison with Program officer

Procurement support

Follow up on request submission, progress and report back to the program team

Collaborate with procurement team and submit the necessary documents for on time processing

Follow up on payments and documentation

In Liaison with Program officer

Human Resource Management

Following up on requisitions and contracts for staff and consultants

In Liaison with Program officer

Documentation

Document all the necessary documents of the program

In Liaison with Program officer

2 .ANY OTHER TASKS

Maintain work stations for other colleagues when necessary

Job Requirements

Education and knowledge

  • BA/Diploma in Business administration, Communications, social sciences or related field
  • Knowledge of modern office procedures

Experience

  • 0/2 years of experience
  • Experience working in a busy environment handling administrative matters
