Job Summary
The Assistant Logistic Officer works closely with the Senior and Procurement Officer and provides support in processing and documenting the purchase and delivery of goods and services. Essentially needs to ensure the right materials are delivered to the right location. Shall be involved in facilitating transportation and the flow of materials and delivery of goods and services to field offices. Towards this, the logistic and supply chain Intern needs to understand the whole supply chain management so he/she can coordinate and facilitate efficiently and effectively.
Specific Responsibilities
Logistics
- Ensure HelpAge Internationals office supplies, project items, and equipment are procured on time and in line with procurement procedure and policy.
- Provide technical and operational support to the project offices and advice on the application of logistics management best practices, systems, and procedures. Take initiative in management improvement for the logistic function.
- Ensure the implementation, monitoring & evaluation of new initiatives & procedures related to logistics.
- Support, implement, and manage contracts in forwarding, transport, etc.
- Work on and document a preferred suppliers list that is subject to timely revision.
- Organize all documentation for payments and ensure timely settlements of bills.
- Maintains documentation on purchases of goods and services for any references.
Transportation
- Support booking arrangements for visitors to the office, including visa arrangements, hotel bookings, airport pickup, etc.
- Support in arranging all flights, domestic and international, for HelpAge staff.
- Support truck rental arrangements to field offices.
- Visit the existing storing system and provide support plus fixed asset management.
- Undertake additional tasks as assigned by the Line Manager.
Safeguarding responsibilities
- Preventing harm and abuse from our people, operations, and programs to anyone who encounters our work.
- Reporting all safeguarding incidents, you see, hear, hear about, or suspect, using our internal reporting mechanism and complying with all safeguarding framework policies and practices.
