Job Description
- Supplier Coordination: Liaise with foreign suppliers to coordinate the shipment of goods, including negotiating delivery terms, arranging transportation, and ensuring compliance with import/export regulations.
- Import/Export Documentation: Prepare and manage all necessary import/export documentation, such as purchase orders, commercial invoices, packing lists, certificates of origin, and customs declarations.
- Shipping Coordination: Arrange transportation for imported goods from the supplier's location to the destination, coordinating with freight forwarders, shipping lines, and carriers to ensure timely delivery.
- Cost Management: Monitor transportation and logistics costs associated with foreign purchases, identify opportunities for cost optimization, and negotiate favorable terms with transportation providers and logistics partners.
- Customs Clearance: Facilitate customs clearance processes for imported goods, including working with customs agents to ensure compliance with customs regulations and timely clearance of shipments.
- Customs Compliance: Ensure compliance with customs regulations and procedures for both import and export shipments, including tariff classification, valuation, country of origin determination, and customs declaration requirements
- Customs Declarations: Prepare and submit accurate customs declarations to customs authorities, ensuring that all information provided is complete and correct to facilitate the smooth clearance of goods.
- Duty and Tax Calculation: Calculate applicable duties, taxes, and customs fees for imported goods based on their value, classification, and country of origin, and ensure timely payment to customs authorities to avoid delays and penalties.
- Tariff Classification: Classify imported goods according to the Harmonized System (HS) code or other applicable tariff classification systems to determine the correct customs duties and taxes applicable to each product.
- Risk Assessment: Conduct risk assessments to identify and mitigate potential customs compliance risks, such as prohibited or restricted goods, valuation discrepancies, or non-compliance with import/export regulations.
- Customs Clearance Coordination: Coordinate with customs brokers, freight forwarders, carriers, and other logistics partners to facilitate the timely clearance of goods through customs checkpoints, including arranging for inspections or examinations when required.
- Post-Clearance Activities: Handle post-clearance activities, such as reconciling customs declarations with shipment records, obtaining release documents from customs authorities, and coordinating the delivery of cleared goods to their final destination.
- Record Keeping: Maintain accurate records of customs clearance activities, including copies of customs declarations, supporting documentation, and communication with customs authorities, in compliance with recordkeeping requirements.
- Communication: Maintain regular communication with internal stakeholders, including procurement teams, finance departments, warehouse personnel, suppliers, logistics providers, and customs authorities to provide updates on the status of foreign purchases and resolve any issues that may arise.
- Documentation Management: Maintain accurate records of all transactions, including purchase orders, shipping documents, customs declarations, and payment records, in compliance with company policies and regulatory requirements.
- Emergency Response: Develop contingency plans and procedures to address emergencies or disruptions in the supply chain, such as transportation delays, natural disasters, or geopolitical events, and ensure business continuity.
- Training and Development: Stay informed about developments in international trade regulations, logistics trends, and best practices, and provide training and guidance to team members to enhance their skills and knowledge in foreign purchase transit and logistics.
- Documentation Preparation: Prepare and manage all necessary documentation required for customs clearance, including commercial invoices, packing lists, certificates of origin, import/export licenses, and other relevant paperwork.
- Compliance Audits: Assist in conducting internal compliance audits to ensure adherence to customs regulations and company policies, identify areas for improvement, and implement corrective actions as necessary.
- Training and Guidance: Provide training and guidance to team members, suppliers, and other stakeholders on customs compliance requirements, procedures, and best practices to enhance overall compliance and efficiency in customs clearance processes.
- Continuous Improvement: Identify opportunities to streamline customs clearance processes, improve efficiency, and reduce costs through automation, process optimization, and implementation of best practices in customs compliance.
