POSITION SUMMARY

Our company Smile Specialty Dental Center is a premier dental health company, was established in Addis Ababa, Ethiopia in 2022. Our unwavering commitment to being a customer-centric dental care provider remains steadfast. With a focus on customized service models and top-quality dental care, we offer a comprehensive spectrum of healthcare solutions. Thus, we are looking HR and Administration Officer who works under the direct supervision of the HR manager support the affairs related to the day to day running of all HR and admin activities and supporting the company operation. The Human Resource and Admin Officer will assist in the human resources activities including recruitment and orientation, personnel files, staff benefits and payroll and all facility activities in our dental clinic.

DUTIES AND RESPONSIBILITIES

  • Ensure recruitment activities, such as posting job advertising, scheduling interviews contact candidates, and conducting reference checks.
  • Prepare recruitment planner, document, and record the recruitment process.
  • Manage employee records, including new hire onboarding, terminations, and updating employee information in the.
  • Maintains personnel files in compliance with applicable legal requirements.
  • Developing and arrange an induction program for new employees.
  • Gather payroll data like attendance and overtime and ensures that payroll functions smoothly.
  • Monitor and manage employee time off requests, including sick leave, annual leave, and other type of leaves. 
  • Monitor attendance, ensure that leave reports are completed and signed for all employees on time.
  • Facilitate the quarterly employee reward and recognition program in the organization. 
  • Maintaining employee attendance records, administer attendance systems, and generating weekly attendance reports.
  • Ensuring a safe and healthy work environment and ensuring a health and safety policies are maintained by employees. 
  • Identifying training needs within the organization and facilitate different hard skill and soft skill training programs and maintain all records related with training.
  • Handling employee grievances, conflicts, and disciplinary matters. This includes mediating disputes, conducting investigations when necessary, and reporting to HR Manager.
  • Organize employee engagement activities, such as team-building events, social gatherings, and recognition programs to boost morale and foster a positive company culture.
  • Respond to employee inquiries regarding HR policies, benefits, and other HR-related matters.
  • Inform the HR Manager about contract renewal for contract employees according to labor low & company procedures.
  • Overseeing office facilities and maintenance, managing office supplies, and coordinating office moves or renovations when necessary.
  • Give due follow-up on cleaning activities and ensure that all office cleaning is carried out at daily bases.
  • Coordinate and monitor the office operation costs against the budget.
  • Ensure that full office security measures are always in place, including procedures for staff and visitors.
  • Staying updated on employment laws and regulations, ensuring the organization's compliance with these laws, and advising HR Manager on legal matters related to HR.
  • Maintain an organized report and send it to HR Manager on a weekly basis.
  • Ensure that performance evaluations for all staff are conducted on time and review all evaluations to ensure consistency.
  • Follow up on all medical and support function staffs dressing and ensure proper dressing code in the Clinic.  
  • Minute taking in Management team meetings.
  • Execute other duties and assignments as required.

Education

  • BA/MA in Human Resources Management, Business Administration, or other related fields. 

Experience

  •  A minimum of years for BA and 2 years for MA relevant Work Experience (specific experience).
