Job Description

Job Title: Finance Assistant

Job Classification: Finance and Accounting

Reports to: Finance Manager

Job Grade: O/6

Background

Research Triangle Institute (RTI) has over 30 years’ experience assisting governments, communities, and the private sector. As a not-for-profit, independent research institute based in North Carolina, USA, RTI has roughly 6,000 employees with global experience implementing international development projects.

Job Summary:

The position is responsible for the day to day accounting function of the Project. He/She will be utilizing the appropriate systems and following proper accounting procedures to disburse, account for, and report usage of funds. This position will process staff travel advances, payment of vendors and managing petty cash.

The Finance Assistant will be based in Addis Ababa, Ethiopia and report to the CR-WASH Finance Manager.

Essential Duties:

  • Processes payments for staff travel advances, ensuring advances are liquidated on time and accurately
  • Prepare payment vouchers in support of payments for project activities and suppliers invoices confirming such payments are: in accordance with the laid down procedures and policies, accurate, complete, adequately supported by all underlying appropriate documents, correctly coded to appropriate expenses and tracking code and project code.
  • Raises journal vouchers or adjusting journals for necessary reviews and approvals
  • Provides support in compiling and submission of the monthly financial reports package for the respective projects
  •  Address monthly financial reports review comments raised by the Accountant in relation to travel and activity advances & respective liquidations.
  • Reviews sub-grantees financial documents in consultation with the Senior Grant Manager.
  • Maintain petty cash and making petty cash payments
  • Make payments to workshop participants (including travel and meals refunds) as designated by the supervisor
  • Hold check books in a safe box, process check payments to vendors and employees
  • Accounting/keep track of expenses and other financial transactions, mainly involving expense entry, tracking and record keeping;
  • Ensure proper scanning and filing of finance documents
  • Prepare payroll tax, pension, and withholding declaration and process payment.
  • Prepare VAT refund claims and track records.
  • Performs other duties assigned by the supervisor.

Minimum Required Education & Experience:

  • BA Degree in Accounting with 2 years of related experience.

  • Excellent knowledge of MS Word, Outlook, PowerPoint, Excel
  • Ability to multi-task

  • Attention to detail and accuracy
  • Ability to obtain proper security clearances as noted by contracts
  • Ability for field travel 

Physical/Mental Demands

Physical and mental demands of this role include those that must be met by an employee to successfully perform the essential functions of this job, as outlined above. Examples include:  remaining in a stationary position for long periods of time; operating a computer and other office machinery; thinking, learning, and concentrating effectively and frequently communicating with other people, both within RTI and outside of RTI; frequently moving about inside and travel between offices and laboratories; frequently conducting laboratory site inspections (if applicable), ability to handle the stress associated in meeting frequent, multiple and tight deadlines, ability to work in excess of 40 hours per week as workload and deadlines may require, ability to have regular, reliable and predictable attendance.
