Principal Duties/Responsibilities 

Objective of the role

The Finance Manager has a general responsibility of overseeing financial operations within the office focusing on the management of budgets, financial reporting, and financial strategy, including optimising revenue, controlling costs, and planning for financial growth.

Key responsibilities

Financial planning and budgeting  

  • Devise and implement financial management system with required policies, procedures, processes and forms to enable MTA to make efficient use of its resources and effectively attain its goals.
  • Prepare and implement annual budget reflecting MTA’s strategic priorities and regularly report on budget utilization updates.
  • Advise and implement the most efficient way of raising of invoices and collection of fees.

Financial operation

  • Ensure that the matter reports are consolidated monthly from the practice management system and raise timely invoices/request for payment on their basis.
  • Ensure that all invoices are settled timely following the policies and procedures of MTA.
  • Check on Work-In-Progress (“WIP”) with a view to invoice them timely and promptly identify bad debts and propose a solution to management.
  • Ensure expenses are authorised and processed in accordance with MTA procedures.
  • Ensure that procurement plans are prepared and executed within budget and in the most efficient way that maximizes value for money for MTA.

Financial reporting

  • Maintain the office’s chart of accounts, financial/accounting records related to general ledger, income, payroll, budget, expense, etc. and ensure that they are complete, accurate, well archived and safeguarded.
  • Prepare financial reports on a weekly, monthly, quarterly and annual basis and provide them to the leadership of MTA and receive feedback and implement as necessary.
  • Monitoring and reporting on outstanding debts, initiating appropriate recovery action to mitigate loss.
  • Monitoring income and expenditure, analysing variances from previous years and months and preparing revised budgets in line with the office’s planning and budgeting calendar.

Taxation and accounts

  • Ensure that all taxes are settled timely and tax clearance is secured annually.
  • Ensure that VAT is reported and settled, and cash machine maintained and renewed timely.
  • Ensure a good working relationship with tax authority
  • Maintain timely accounting records.
  • Preparing year end accounts, balance sheet, and profit statements.
  • Maintain accurate bank records of cash withdrawals and deposits.
  • Ensuring that MTA’s financial operations comply with legislative, regulatory, and statutory requirements of the tax authorities.
  • Evaluate existing accounting system and recommend improvements if required.
  • Identify and resolve invoicing issues, accounting discrepancies and other financial related problems.

Resource management

  • Managing and co-ordinate the work of the finance team, ensuring they have the appropriate skills to fulfil their roles and meet the firm’s business needs.
  • Setting performance standards for finance team and review their performance in line with the office’s annual appraisal cycle.
  • Ensuring that staff in the finance team receive appropriate training, development, and appraisals to meet the requirements of their roles.
