The organization is seeking to recruit competent Office Operation Assistant who is focused on outcomes, excellent problem solver and strong communicant to take charge and assist office operation at KOFIH Ethiopia Office.

Role of the office operation assistant

 The role of the office operation assistant is to involve in providing administrative assistance to colleagues, clients and stakeholders of the business mainly responsible for administrative duties for all operations to communicate with office and request information required for the implementation of all operation relevant duties.

 The operation assistant should be familiar with audits, invoices and budget preparations. Ideally, the candidate demonstrates interest in managing office activities, including support of operations and overall day-to-day office works with excellent organizational skills and is able to handle time-sensitive tasks. Ultimately, the candidate will be responsible for organization’s administrative procedures.

Key Responsibilities include but not limited to:

  •  Provide support to operations manager as and when required.
  • Update office operation procedures document as needed.
  • Order, store and organize all office supplies.
  • Manage incoming and outgoing letters.
  •  Perform general office administrative duties.
  • Assist record, reconcile and manage payments and receipts on time.
  • Assist managing and take care of office supplies and assets at KOFIH office.
  • Ensure the accurate recording of all transactions including supporting documents to comply with KOFIH’s accounting policy and generally accepted accounting principles.
  • Assist provision of training, technical support and supervision to other operation staffs to ensure sufficient skill level exists for the effective office operation.
  •   Reporting to Representative/manager and supporting the finance and accounting teams
  •   Making reservations for various off-site business meetings
  •   Categorize and document files related to administration
  •   Performs other related duties as required by the supervisor.

Terms of employment: One-year based contract subject to 3 months probationary period with possibility for extension based on proven performance.

 Salary: $300~$400, and exact salary will be decided based on KOFIH internal rules and regulations.

Minimum requirements/Qualifications:

  • Should have at least bachelor's degree in business management, Administration, Accounting, or related major from recognized university' or over 2 years of work experience in the hiring field after high school graduation.
  • Position Related work experience is preferable 
  • Strong ethics, with an ability to manage confidential data
  • Excellent computer skills including MS word, Excel and Internet browsing 
  • Task-oriented individual, capable of high-stress environment: Must possess strong social and ethical  qualities.
  • Commitment to KOFIH’s vision, mission and values.

  • A written test and interviews could be used as a form of screening. 
  • After screening, a written test and interview can be conducted between July 1st to July 5th.
