Main Purpose

Accountabilities

Specific Accountabilities

Ensure the accuracy of stock reports MSR versus Unifield , stock card and Power BI

Ensure efficient physical (warehousing) and administrative (management of movements) stock management.

Ensure the availability of relevant management data to the owners of the stock, project and capital coordination (monthly IN/OUT ,expired drugs, risk of shortages, stock reports, lead time, pipeline) and communicate them to stakeholders on regular bases.

Ensure efficient supply of pharmacies in the project.

Ensure efficient supply administration, and implementation standards supply tools such LSR, MSR stock card and Unifield.

Supervise and evaluate the team (, storekeepers, and assistants ).

Ensure efficient warehouse management at project level

Making sure that unifield is real time updated with each stock movement (IN & OUT)

reporting tools (TSR, SMS, LRS, Fuel Report, Sitrep Report & Unifield Inventory) share monthly reports with SAM, LTL by 30th of each month.

Prepare monthly TSR Analysis sheet and share with project pharma to provide pharmacy stock status before having TSR Analysis meeting with Medics. 10th of each month is the deadline to submit TSR Analysis in coordination .

Ensure monthly unifield Inventory performed and discrepancy report shared with SAM & LTL.

On weekly basis, ensure that UniField data base is cleaned up all (open Ins and OUTS are closed, unless in progress) Incoming shipments are processed, Field Orders, Internal moves and pending lines in order sourcing tools are closed, unless in process.

Ensure In-kind Donation PO processed along-with Donation agreement and unifield Incoming shipment processed, set of documents submitted to finance in same month.

On every 4M physical stack count, prior to international orders, ensure stock balances are uploaded on Unifield and ensure stock balances corresponds on stock cards, shelves and Unifield.

Ensure LAK is available & Store keepers, use LAK properly to file hard documents accordingly.

Track all outstanding orders, freight receptions and stock replenishment functions for project.

Ensure expired medical items are received from pharmacy on monthly basis and reported in SMS same month.

Ensure Medical warehouse quarantine area, Expired drugs and control drugs premises respected and utilized accordingly. Ensure control drugs kept in lock always.

Education

Essential Degree in Pharmaceuticals management or supply chain management fields with a valid Professional Practicing License

Desirable warehouse management-related studies

Experience

Minimum 2 years of experience as a Warehouse Manager/supervisor and/or experience in the MSF Logistics department.

Overall experience of 2-3 years.

Languages

Mission language essential, local language desirable. English speaking, understanding, and writing are necessary.

Knowledge

Basic mathematics and use of measuring equipment. Computer literacy.
