Job Summary

The HR and Admin Officer for Garden Dairy will be responsible for managing all human resources and administrative functions. This includes recruitment, employee relations, performance management, training and development, and general administrative duties. The ideal candidate will ensure a productive and harmonious work environment, supporting the company's growth and operational efficiency.

Key Responsibilities:

Human Resources Management:

  • Oversee the recruitment process, including job postings, screening, interviewing, and onboarding new employees.

  • Manage employee records, ensuring accuracy and confidentiality.

  • Develop and implement HR policies and procedures in compliance with legal requirements.

  • Address employee queries and grievances promptly and effectively.

 Employee Relations:

  • Foster a positive and inclusive work environment.
  • Organize employee engagement activities and events.
  • Mediate conflicts and facilitate resolutions between employees and management.
  • Promote a culture of open communication and feedback.

 Performance Management:

  • Coordinate the performance appraisal process, providing guidance to managers and employees.
  • Assist in setting performance goals and objectives.
  • Monitor and evaluate employee performance, identifying areas for improvement.
  • Support career development and succession planning initiatives.

Training and Development:

  • Identify training needs and organize relevant training programs.
  • Develop and deliver orientation and induction programs for new employees.
  • Evaluate the effectiveness of training programs and make recommendations for improvement.
  • Support continuous learning and development within the organization.

Administrative Support:

  • Manage office supplies and equipment, ensuring availability and functionality.
  • Coordinate office maintenance and repairs.
  • Handle administrative tasks such as filing, data entry, and correspondence.
  • Oversee travel arrangements and accommodation for staff as needed.
  • Manage attendance of employees 

 Sourcing and Procurement:

  • Identify and evaluate potential suppliers and negotiate contracts to secure advantageous terms.

  • Source high-quality raw materials, ingredients, packaging, and equipment needed for dairy production.

  • Monitor market trends and analyze supplier performance to ensure competitive pricing and quality. 

Order Management:

  • Prepare purchase orders and ensure timely delivery of goods and services.
  • Track orders and address any issues related to delays, shortages, or quality concerns.
  • Maintain accurate records of purchases, pricing, and delivery information.

Supplier Relationships:

  • Build and maintain strong relationships with existing and potential suppliers.
  • Conduct regular reviews and evaluations of supplier performance.
  • Resolve any disputes or issues with suppliers in a timely and effective manner.

Inventory Control:

  • Coordinate with the inventory management team to ensure optimal stock levels.

  • Monitor inventory levels and forecast future supply needs.

  • Conduct regular inventory audits to maintain accuracy and prevent shortages or overstock situations.

Compliance and Reporting:

  • Ensure compliance with labor laws and company policies.

  • Prepare and submit regular HR reports to management.

  • Maintain up-to-date knowledge of HR best practices and legal requirements.

  • Assist with audits and inspections as required.

Health and Safety:

  • Promote a safe and healthy work environment.
  • Conduct regular health and safety audits and risk assessments.
  • Implement and monitor safety protocols and emergency procedures.
  • Provide training on health and safety practices.

Qualifications:

Education:

  • Bachelor’s degree in human resources, Business Administration, or a related field.

Experience:

  • Minimum of 1-2 years of experience in HR and administration roles, preferably within the dairy processing or agro processing/manufacturing industry.

Skills:

  • Strong knowledge of HR principles, practices, and employment laws.
  • Excellent organizational and multitasking abilities.
  • Proficiency in HR management software and Microsoft Office Suite.
  • Exceptional communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Problem-solving and conflict-resolution skills.

Additional Information:

Work Environment:

  • This position typically operates in a professional office environment. Occasional travel to dairy production/raw milk collection sites may be required.
