         Job Title: Administrative Assistant

Overall responsibility: The Incumbent is responsible for overall management of records and documents. He/she is responsible for tracking the incoming and outgoing letter/records/documents. Filing of documents, assisting the clerical tasks of the organization is his/her main tasks.

   Key Responsibility 

  • Overseeing clerical tasks, such as sorting and sending mail.

  • Ensure that all documents are properly classified, filed, and stored in accordance with company policies and regulations

  • Keeping an inventory of office supplies and ordering new materials as needed.

  • Maintaining files.

  • Welcoming visitors to your office.

  • Taking and delivering messages.

  • Work with internal teams to establish standard documentation templates, formats, and styles.

  • organizing and servicing meetings (producing agendas and taking minutes)

  • Maintaining effective records and administration

  • Maintain and update a document database or library, ensuring that all documents are appropriately archived and indexed for quick retrieval

  • Ensuring the office runs smoothly.

  • Answers phone calls and directs callers to appropriate personnel, 

  • Schedules appointments, 

  • Signs for incoming packages, and assists clients and other visitors.

  • Performs miscellaneous job related duties as assigned.

  • BA degree in Administrative Management, Secretarial Science, Business Management, HR management or other related field of studies.
  • Minimum 1 year relevant work experience
  • High level of integrity, professionalism, and attention to detail.
  • Exceptional communication and interpersonal skills.
