Job Summary: -

Responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.

Key Responsibilities

  • Provide an advanced, efficient and confidential administrative service to CEO.

  • Schedule meetings and arrange conference rooms.

  • Attend meetings and keep minutes if necessary.

  • Alert the CEO about cancelations or new meetings.

  • Make travel arrangements for the CEO.

  • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.

  • Receive and screen phone calls and redirect them when appropriate.

  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

  • Handle confidential documents ensuring they remain secure.

  • Maintain electronic and paper records ensuring information is organized and easily accessible also keep hard copy and electronic filing system.

  • Manage filing system ensuring files are accurately and timeously filed to ensure that it is on hand when requested.

  • Provide administrative and clerical support to the CEO.

  • Coordinates office management activities & maintain office procedures.

  • Determine matters of top priority and handle accordingly.

  • Plans events and volunteer activities.

  • Operate office equipment, such as photocopy machine and scanner.

  • Relay directives, instructions and assignment to executives.

  • Prepare CEO yearly office budget.

  • Conduct the ordering of stationery for the department as required. 

  • Preserve an adequate inventory of office supplies.

  • Diploma in Secretarial Science and Office Management 

  • 5 years’ relevant work experience in secretarial services and office management activities. 

  • Frequent travel

  • Excellent PC literacy skills – Advanced Word/PowerPoint/Internet/ Excel 

  • Strong administrative and secretarial influence.

  • An ability to maintain confidentiality.

  • Professionalism, excellent judgement uses of discretion, prioritization and problem solving abilities. 

  • High stress tolerance

  • Ability to work and make decisions independently 

  • Interest in office Management
