JOB SUMMARY
The Project Assistant provides administrative support to the Project and Program Manager, ensuring smooth day-to-day operations by handling documentation, scheduling, and communication tasks. They assist with basic procurement activities, including tracking orders and coordinating with suppliers. By coordinating project logistics and maintaining organized records, the Project Assistant contributes to the efficient execution of project activities and goals.
KEY RESPONSIBILITIES
Assist the Project Manager and Program Manager with day-to-day administrative tasks, including scheduling meetings, managing calendars, and organizing documentation.
Maintain organized project documentation, ensuring all reports, files, and correspondence are up-to-date and accessible.
Prepare and distribute meeting agendas, minutes, and action points for internal and external meetings.
Assist in drafting and formatting reports, presentations, and project-related documents.
Assist in basic procurement tasks such as preparing purchase requisitions, obtaining quotations, and tracking purchase orders.
Coordinate with suppliers and vendors to ensure timely delivery of goods and services.
Maintain records of procurement activities and assist in the preparation of procurement reports.
Assist in budget tracking and ensuring project expenditures are properly documented and aligned with financial guidelines.
Assist in tracking project timelines, milestones, and deliverables, ensuring deadlines are met.
Coordinate logistics for project-related activities, such as workshops, training sessions, and field visits.
Provide general office support, including managing office supplies and ensuring proper functioning of office equipment.
Assist with other tasks as required to support the smooth running of the project and the program.
EDUCATION / EXPERIENCE NEEDED
Diploma or above in business administration, Management, computer science or a related field.
A minimum of 2 years of previous experience in administrative or project support roles.
Basic understanding of procurement and financial processes.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
Strong organizational skills and attention to detail.
LANGUAGE
Required: Amharic and English

The noise level in the work environment is usually moderate but can be exposed to loud noises around the maintenance and construction workshops.
