Job Summary:

We are seeking a proactive and highly organized Executive Assistant to support the General Manager (GM) with personalized administrative duties. The successful candidate will manage scheduling, take meeting minutes, handle correspondence, and make travel arrangements, among other responsibilities. Flexibility and the ability to multitask are crucial in this role.

Main Responsibilities:-

  • Schedule and organize regular and urgent meetings in consultation with the GM.
  • Record and draft minutes for meetings, ensuring issues discussed, resolutions passed, action items, and deadlines are clearly documented.
  • Assist the GM in daily management tasks and make decisions within delegated authority.
  • Act as a liaison with government and non-government organizations, following the GM’s directives.
  • Facilitate arrangements for visitors, ensuring smooth coordination.
  • Ensure proper documentation and updating of the company database.
  • Draft and manage formal letters and other correspondence.
  • Respond to emails forwarded by the GM and control overall correspondence.
  • Liaise with various agencies, organizations, and groups as needed.
  • Manage visa and residence permit processes for expatriates, consultants, and guests.
  • Handle local and international flight bookings and associated travel arrangements.
  • Arrange travel and accommodations for CEO and visiting experts as per the GM’s instructions.

Requirements: -

Education: BA or MA Degree in Management or a related field.

Skills:

  • Strong ability to multitask and prioritize tasks effectively.
  • Excellent time management and planning skills.
  • Well-developed organizational skills and attention to detail.
  • Strong verbal and written communication skills in English.
  • Proficient in report writing and professional correspondence.
  • Discretion and confidentiality in handling sensitive matters.
  • Strong computer literacy and proficiency in common office software.

Work Experience: - 2+ years of experience, with a background in both local and international organizations preferred.
