Asset and Facility Administrator

• Record organization fixed assets on standard excel sheet, discuss with relevant management teams and put all active assets to the organization Asset management software. 

• Ensure that each Fixed Asset shall be properly tagged or engraved before being issued to a user/custodian.

• Establish a system where all organization fixed assets are identified where they are. The fixed asset register shall contain appropriate details for each asset that includes description, cost, acquisition date, location, asset identification number, name of custodian, etc.

• Create a system of accountability document for all organization assets. All users have to sign asset acceptance document. 

• Ensuring that each custodian has handed over fixed asset under his/her custody to an assigned employee or returned to store before leaving Flipper.

• Ensure organization fixed assets are safeguarded against loss or damage and shall be properly stored or kept at all times when not in use.

• Ensure all fixed assets shall be checked for physical existence and condition at least once a year and the physical count compared and agreed with Fixed Assets Register. 

• Ensure that major assets of the organization are covered with insurance and the policy is managed properly.

• Ensure fixed assets that are no longer useful because they are worn-out or obsolete may be disposed-off through sale, gift, or destruction. Decisions to dispose an asset shall be made by General Manager taking into account the value of an asset to the organization.

• Supervise all organization facilities are working properly and recommend any maintenance need for efficient service delivery.

• Procure important maintenance kit and engage the facility maintenance teams across all compounds.

• Track consumables and provide management periodic report for efficient purchase decision.

• Assist the procurement officer in the purchasing process.

• Others as directed by Immediate supervisor.

The position requires a person with at least five years of relevant experience as Fixed asset/Facility management officer or any other related field.

BA in Accounting or Management, Excellent Excel knowledge.
